Organizations & Team Collaboration
An organization is how you work with a team in ParseSphere instead of alone. On your own (a personal account), every workspace, API key, and saved prompt belongs only to you. Once you create an organization and switch into it, you can invite teammates and share specific workspaces with them — each person gets exactly the level of access you assign.
Organizations use the same secure account system that handles your sign-in. Creating an organization, inviting people to it, and managing organization-level membership all happen through the organization screens built directly into the ParseSphere dashboard.
Personal Accounts vs. Organizations
| Personal account | Organization | |
|---|---|---|
| Workspaces | Visible and editable only by you | Can be shared with specific teammates |
| API keys | Belong to you alone | Can belong to the organization (see API Keys) |
| Who can join | Nobody — it's just you | Anyone you invite |
| Good for | Solo work, experimentation | Teams collaborating on the same data |
Information
You don't have to choose one or the other. You can belong to a personal account and one or more organizations at the same time, and switch between them whenever you like.
Creating an Organization
- In the dashboard, find the organization switcher in the top navigation bar (next to your account menu). If you haven't created or joined an organization yet, it shows your personal account name.
- Click the switcher to open the dropdown.
- Select Create organization.
- Give the organization a name (and optionally a logo), then confirm.
📸 SCREENSHOT NEEDED — Organization switcher dropdown open, showing the "Create organization" option in the ParseSphere dashboard header.
You're automatically switched into the new organization once it's created. From this point on, anything you create — workspaces, API keys — while the organization is active in the switcher belongs to that organization rather than to you personally.
Tip
You can create more than one organization (for example, separate ones for different clients or departments) and switch between them from the same dropdown.
Inviting Members
Adding people to your organization is handled by the organization management screen — the same dropdown you used to create the organization.
- Click the organization switcher and make sure your organization (not your personal account) is selected.
- Choose Manage organization from the dropdown.
- Open the Members tab.
- Click Invite, enter the person's email address, and send the invitation.
📸 SCREENSHOT NEEDED — The "Manage organization" Members tab, showing the Invite flow with an email field.
The invited person receives an email invitation. Once they accept, they can switch into the organization from their own dashboard using the same organization switcher.
Information
Being a member of the organization is a separate step from having access to any particular workspace. Joining the organization doesn't automatically give someone access to your workspaces and data — see Workspace Sharing & Roles below for how that works.
Switching Between Personal and Organization Context
The organization switcher isn't just for creating and inviting — it also controls which "context" you're working in at any given moment:
- Personal context (your account, no organization selected): You see and create only your own workspaces and API keys.
- Organization context (an organization selected): You see workspaces owned by you or shared with you inside that organization, and anything you create — new workspaces, new API keys — belongs to that organization instead of to you personally.
This means where you create a workspace matters. To create a workspace that you can later share with your team, switch into your organization before clicking Create New Workspace.
Warning
Workspaces created while in your personal context can't be shared with anyone — the Members tab described below only appears for workspaces that belong to an organization. If you meant to create a team workspace, check that your organization is selected in the switcher first.
Workspace Sharing & Roles
Sharing in ParseSphere is per-workspace and per-member — you choose exactly who gets access to a given workspace and what role they get. There's no setting that shares a workspace with your whole organization at once.
Adding Members to a Workspace
- Open the workspace and go to Settings in the sidebar (visible to workspace Owners and Admins).
- Open the Members tab.
- Search for a teammate by name or email — the search only shows people who are already members of your organization.
- Pick a role for them and click Add.
📸 SCREENSHOT NEEDED — Workspace Settings > Members tab, showing the "Add Members" search box, a role selector, and the grouped member list (Owner / Admin / Editor / Viewer).
You can add several people at once, and change anyone's role later from the same list (except the workspace owner's role, which is fixed).
Information
The Members tab only appears for workspaces that belong to an organization. A teammate must already be a member of your organization before you can add them to a workspace — see Inviting Members above.
Roles at a Glance
| Role | Can do |
|---|---|
| Owner | Everything an Admin can, plus delete the workspace. Assigned automatically to whoever creates the workspace — this role can't be reassigned or removed from the Members tab. |
| Admin | Manage workspace settings and members (add, remove, change roles). Full access to upload, edit, and delete files, datasets, prompts, and folders. |
| Editor | Upload, edit, and delete files, datasets, prompts, and folders. Can't manage members or workspace settings. |
| Viewer | Read-only: view files, datasets, prompts, and query history, and chat with the workspace's data. Can't upload, edit, or delete anything. |
Tip
Not sure which role to pick? Give people Viewer by default and upgrade them to Editor or Admin only if they need to make changes — you can always change a member's role later.
Removing a Member
From the workspace's Settings > Members tab, find the member and click the remove icon next to their role. This only removes them from the workspace — it doesn't remove them from the organization.
Organization-Scoped API Keys
API keys follow the same personal-vs-organization context described above: a key you create while your organization is selected in the switcher belongs to the organization, and any member of that organization can see and use it (rather than only you).
See the full API Keys guide for how to create, view, and delete keys, including the Organization Keys section.
Organization Plans & Billing — Coming Soon
Organization-level billing — shared or pooled credits, seat-based pricing, and a dedicated organization plan — is on our roadmap and still being designed. Today, billing and credits are tied to your individual account (see Billing), even when you're working inside an organization.
We'll update this page with organization billing details as soon as that functionality ships.
